Creating and Editing Sales Orders

How to create and edit sales orders to sell product to your customers

Prerequisites

  • The Transactions Access → Sales Orders → Access role is required to view existing sales orders.
  • The Transactions Access → Sales Order → Create role is required to create and edit sales orders.

Creating a New Sales Order

  1. Click on the Wholesale Pricing or Retail Pricing button at the top of the list of sales orders to create a new sales order with the corresponding pricing model. Note that the pricing model cannot be changed for existing sales orders.
  2. Enter the document information for the sales order.
  3. Enter the line items for the sales order.
  4. Click the Save All button to save your changes, or Cancel to revert them.

Editing an Existing Sales Order

  1. Click on the sales order that you wish to edit from the list of sales orders shown.
  2. Click on the Edit button at the top of the sales. This option will only be available if the sales order has not yet been finalized or submitted to QuickBooks.
  3. Modify the document information for the sales order, if required.
  4. Add, modify, or delete line items for the sales order, if required.
  5. Click the Save All button to save your changes, or Cancel to revert them.

Entering the Document Information

In the Sale Order Details section:

  • Select the customer associated with the sales order.
  • The sales order date should be the that the sale actually took place. This date will be used for reporting purposes. 
  • If known, enter the customer's purchase order number.
  • Select the warehouse that is responsible for processing the sales order, this should be the warehouse that you are pulling inventory from.
  • Enter the planned delivery date.

Entering the Sales Order Line Items

In the Sale Items section:

  • Click on the Add button at the top of the grid to add a new line.
  • For each line:
    • Select the product SKU being sold.
    • Enter the price and discount (if any) for the product.
    • Enter the quantity of the product being sold. Note that for kegs and rental products, the quantity will be fixed as one.
    • Select the tax rate applicable to the product.
    • Enter any additional notes required for the product.

      Tips and Tricks

      Ensure that all the items, quantities and costs on the sales order are correct before finalizing to prevent yourself from having to make corrections in the future.
